Fruit Traceability for Taiwan Importers: Building a Useful Lot Record

Build usable fruit traceability records for Taiwan imports by linking product identity, exporter details, lot numbers, dates, storage and receiving evidence.

Fruit traceability for Taiwan importers should make it possible to connect incoming goods with the supplier and the relevant lot records. A decorative QR code or a folder of unrelated certificates is not enough. The system needs to help staff answer a concrete question about a particular carton or batch.

Establish the product and business identities

Keep the Chinese and foreign product descriptions aligned where used. Identify the exporter, actual producer or manufacturer and responsible importing business. Record the relationship between a trading company and the facility that handled the goods.

Taiwan FDA’s food traceability provisions list management information for food-importing businesses, including product, business, storage, quantity, lot and date information. The importer should determine the current scope applicable to its products and operations.

Agree what a lot represents

Ask the supplier how a batch is formed and identified. The definition should be useful for the operation: a packing event, processing batch or another controlled grouping. If more than one source contributes to it, the records should preserve the source relationship.

A lot code does not need to reveal unrelated commercial information to every customer. It does need to connect the physical product with records available to the responsible parties. Clarify who can retrieve those records and under what process.

Connect documents rather than collecting them separately

Link the purchase order, supplier specification, packing record, relevant certificates, laboratory reports and dispatch information using consistent identifiers. At receiving, add the actual arrival date, inspection result and any warehouse reference needed for internal tracking.

Check that a laboratory report relates to the product and lot in the file. A report from another shipment can be retained as historical information, but should not silently become current-lot evidence. Apply the same discipline to photographs and approval records.

Test the system with a mock inquiry

Choose one received carton or batch and ask staff to locate its supplier, product description and key supporting records. Note how quickly the information can be retrieved and whether any identifier is missing or ambiguous.

Repeat the exercise in the other direction where useful: start from a supplying batch and determine which received stock relates to it. Keep the exercise proportionate to the actual operation and resolve gaps before order volumes grow.

Preserve identity during storage and repacking

Decide how lot identity is maintained when outer cartons are opened, stock is moved or a permitted repacking activity occurs. Use the importer’s approved procedures and confirm applicable labeling and record requirements.

The record should remain meaningful to warehouse staff who did not negotiate the order. Simple field definitions and a clear filing convention are often more useful than an elaborate interface that nobody updates consistently.

Frequently asked questions

Does traceability prove the fruit is safe?

It supports identification and investigation, but it does not replace appropriate food-safety controls, testing or regulatory compliance.

What should a first supplier demonstration show?

It should connect an actual lot mark with the relevant source, packing or production record and dispatch information. The exercise should use representative goods rather than a presentation example with no commercial link.

Discuss your sourcing requirements
