Pink Pomelo Supply Changes: Approve Substitutions Clearly
Manage changes to an approved pomelo brief with a short comparison record. Identify the effect on use, packing and documents before agreeing a replacement.
Pink pomelo substitutions should be treated as a purchasing decision, even when the proposed fruit looks broadly similar. A change in size mix, pack, declared source or preparation characteristics may affect the customer's use. Keep the originally approved brief available and compare the proposed replacement against it. This avoids an informal “equivalent product” message becoming an agreement nobody interprets the same way.
Keep one identifiable approved version
Store the accepted product description, sample reference, packing basis and relevant commercial terms under a version and date. Identify which parts were confirmed and which remained provisional. A photograph without the accompanying specification should not become the only record of what the buyer approved.
If the order is intended for whole-fruit retail, state that use. If it is intended for prepared segments, state the preparation criteria. The same proposed change can affect these two applications differently, so the use case must stay visible throughout the review.
Ask for a concise change list
- What is proposed to change, and why?
- Which product, packing or document fields remain the same?
- Which existing sample or test results no longer describe the proposal?
- What additional evidence or trial can be provided?
- Which delivery and commercial assumptions need renewed confirmation?
Do not treat omitted information as unchanged. Ask the supplier to confirm the relevant fields explicitly. Where cultivar or origin is part of the requirement, obtain appropriate evidence instead of accepting visual resemblance as a substitute.
Review the effect on the customer's process
As an illustration, version one may cover whole-fruit retail, while proposed version two changes both the carton arrangement and the size mix. The buyer should identify effects on display, checkout units, customer price per fruit and receiving records. A kitchen may instead need another preparation-time or segment-quality check.
The example does not assert that a particular substitute is available. It shows why a change list is more useful than a broad assurance of similar quality. Reuse earlier evidence only for the parts it still represents, and record the reason for doing so.
Make the decision before the replacement is dispatched
Record approval, rejection or conditional approval against the revised version. Name the authorised decision maker and the exact conditions still to be satisfied. If the buyer agrees only to a small trial, do not interpret that as approval for the full commercial quantity.
Update the order, packing instruction and relevant customer information together so old and new versions do not circulate simultaneously. Retain the earlier version for history. When the replacement arrives, verify it against the agreed revision, then review whether the change worked in actual use. A successful substitution can inform future buying, but it should not erase the conditions under which it was accepted.
Send the approved brief and proposed change list through the HAFAMEX Pink Pomelo page when discussing a replacement lot or revised packing arrangement.
